Tournament Sites Noted IMPORTANT TOURNAMENT INFORMATION (Click to download PDF version of following) The Mid-Cities Tournament is probably the 2nd largest regional tournament in the country. We have 186 teams scheduled to compete at our tournament. We have more teams at our regional tournament than some states. The size of our tournament creates several site challenges for us. It is important that everyone be flexible and ready to adapt should things change. The tournament is being held at Colleyville Heritage High School and Heritage Middle School. All RaDIo DI team challenge sites are at Heritage Middle School. It is directly across the street from the High School. Parking at the Middle School is very limited. Please ask your parents and team supporters to either park at the High School or at the Elementary School so that we can save the room for the “prop” vehicles of the 73 teams that are going to be making their way in and out of the Middle School. Tournament Registration When you arrive at the tournament you need to check in at the Registration desk. The Registration area is near the cafeteria. If you come in the main CHHS entrance off of Heritage Avenue and turn left you will find registration. The registration desk will open at 7:00 am and close at 12:00. Maps of the layout of the schools are available in the Regional tournament section of the Mid-Cities website. Tournament Invitation If you are inviting spectators to come watch your team make sure they have ALL the information needed to find the performance sites. EVERY year we have a grandparent or other family member show up at Registration and ask where “John or Jane Doe” is performing. They don’t know the challenge the team is doing, they don’t have a school name, they don’t know the team manager’s name and there is nothing we can do to help them. There is a sample invitation to the tournament on the Team Forms section of the Midcities website. Paperwork Every Team must have a Mid-Cities Medical Release for each team member and a Mid-Cities Media release signed by each team member in order to check in at the registration table. The Media Releases will be collected at Registration. Team Managers are to keep the Medical Releases with them during the tournament. These forms are available on the Team Forms page of the Midcities website. (midcities.texasdi.org) Teams should refer to their specific challenge for the Team Challenge forms that are required. This includes Expense Reports, a Declarations of Independence and Tournament Data forms. Microsoft Word fill-in form versions of the Tournament Data forms and an Excel version of the Expense report are available on the Mid-Cities website on the Team Forms page. Interference Remind your parents about the rules for Interference. It is OK for parents and/or others to unload props, move them into the building, move props to the prep area prior to the performance AND to help remove props from the performance area once a Team has completed. It is NO OK for anyone other than the team to be assembling, repairing or otherwise working on costumes or props or other team materials. Your job as Team Managers is to monitor your Team and parents. It is not your responsibility to report interference you witness at the tournament. This could be considered un-sportsmanlike conduct. Tournament officials are the only ones who can report interference to our appraisal teams and they must witness the interference. We are depending on each Team Manager to police their team and team supporters. Instant Challenge Check in for Instant Challenge is in the “A” Hallway at CHHS. The team may elect for one Team Manager to accompany them into Instant Challenge. Rising Star teams are not required to do Instant Challenge. However, if your Rising Star team elects to not do the Rising Stars IC then please stop by IC check in and let them know so that they will not be looking for your team. Rising Star teams receive a small gift when they have completed their Instant Challenge. When teams complete their IC they will be given time in a CHILL room to discuss their IC and to unwind before leaving the IC area. This is the chance for the team to talk through the Instant Challenge. Teams are not to discuss the Instant Challenge once they have left the IC area. Mid-Cities is working on a graphic for our standard regional Logo. As teams leave the IC area they will be asked to vote on their favorite logo design. Safety Issues o CHHS is Latex Free: No Latex Balloons, Gloves or similar items will be allowed o No Fog or Smoke Machines o Team Members must wear shoes or reasonably impenetrable foot coverings at all times. o Lights may not be turned off during a team’s performance. General Notes for all Challenges and Challenge Sites o DO NOT PARK IN THE FIRE LANES. The Colleyville PD patrols the school and they will ticket you if your car is parked in a fire lane. o Double check clarifications for your teams challenge at this web url: www.snipurl.com/DIClarifications o Rules of the Road require that all props be able to fit through a 30” standard doorway. o We are extremely tight for hall space at all challenge sites. This is especially true at Heritage Middle School. Please do not unload your team’s props until about 1-1/2 hours before your teams performance. Once a team has completed their team challenge please promptly remove your teams props from the building to make room for other teams. Remember that it is OK for parents to help remove props from the performance area once the team has completed their solution presentation. If the team is tight for time to make it to IC then have parents remove the props from the building to your vehicles, vans or trailers. THIS IS VERY IMPORTANT. o Because many of our sites only have one door for both spectators and the teams it is critical that teams and spectators be ready to move quickly into the performance area. Remind those coming to see your team’s performance that they need to be early. Once a performance has started they will not be allowed to enter the site. Challenge Specific Notes: More to the Story…. (Rising Stars) Rising Star teams will receive their participation medals immediately following the completion of their solution presentation. Rising Star participants are welcome to come to the Award Ceremony but there will not be individual recognition for Rising Star Teams at the Award Ceremony. Site “D” is in the Lecture Hall. We have separate entrances for teams and spectators. The performance area is relatively tight being no more than 10’ deep from the back wall to the first row of tables in the lecture room. There is about 15’ of width available for teams. Site “I” is in the Choir room. The spectator entrance is the main entrance to the Choir room. Teams will check in with the Prep area appraiser at the door way to the practice rooms across from room 154. You are sharing this entrance/hallway with Elementary DIsigning Bridges teams. Teams will exit the same door as spectators enter. Teams will have a roughly 10’ x 15’ performance area. DIzzy Derby Teams need to double check any batteries that they are using and make sure they conform with the Rules of the Road. It would be disappointing for teams to be unable to run their vehicle because they were using a battery that was not allowed. Unless we run into last minute problems obtaining the carpet, DIzzy Derby teams will be running on a tight nap carpet rolled out in the gyms. ML and SL Dizzy Derby teams are presenting in Gym 3. There is only one entrance for teams and spectators into this gym. We need your patience and cooperation to keep on schedule. EL DIzzy Derby teams are presenting in Gym 2. We have separate team and spectator entrances for this gym so the logistics are easier. Sudden SerenDIpity Teams will be performing on a stage. They will enter through side stage doors off a main hallway.
RaDIo DI All RaDIo DI sites are at Heritage Middle School. As stated above we are EXTREMELY tight on hall space around our performance areas. There is no room for extra teams in the hallway that will serve the team entrance for the Cafeteria site, and spectator and team entrances for Gyms A and B. We will have extra tournament officials calling for the next teams to perform so that we can get you into your staging area on time. Weather permitting we ask that teams props remain outside. If the weather is bad we have the option of unloading team props in a large hallway at the back of the school. This will require extra coordination and cooperation to get teams from this hallway to the Cafeteria and gym performance sites. The important thing is to be flexible. We are working to make things run smoothly but we may have to adapt our plans on tournament day. Props should not be brought in through the main entrance to Heritage Middle School. Parents and other spectators need to park at the High School or the Elementary School to the North. We have over 70 teams presenting solutions at Heritage Middle School and we do not have enough parking to accommodate everyone. Please leave parking spaces for vehicles hauling props. Once your team is complete, move your vehicle from the Middle School parking lots. See specific notes below for each site…. There are Three Elementary RaDIo DI sites: Elementary Level Site “D” is in the Cafeteria. The Spectator entrance to the Cafeteria is at the main entrance to Heritage Middle School. Teams will enter through the stage door in the hallway behind the cafeteria. The team will present on a stage approximately 10’ x 15’ wide. Team props should be unloaded from the back parking lot remaining outside on the sidewalk if weather permits or moving into the noted hallway if not. Elementary Level Site “I” is in the Lecture Hall. We have one entrance to use for Teams and Spectators. Spectators need to be early for performances. Our priority is getting one team out of the Lecture Hall and the next team into the Lecture Hall. Staging for Site “I” will be in a hallway off the main hallway to the Lecture Hall. The performance area is about 10’ deep from the back wall to the first row of desks and a little over 15’ wide. Team props should be unloaded from the back parking lot. Elementary Level Site “R” is in the Choir Room. This is in the Fine Arts Annex behind the Middle School. Teams will actually go to staging through the band hall and will enter the choir room from the back. The performance area is approximately 12’ x 12’. We can only allow two teams at a time in the hallway outside the Choir Room. Teams should unload their props in the large hallway at the back of HMS. Team props should be unloaded from the back parking lot. There are Two Middle Level RaDIo DI Sites: Middle Level Site “D” is in Gym B. There is only one entrance for spectators and teams into this gym. The doors into the gym are a tight 30” width. Weather permitting team props may be unloaded at the designated location from the front drive but must remain outside until immediately before the teams performance time. If the weather is bad teams will be asked to unload their props in the back parking lot and to use the designated hallway for their props while waiting for their team challenge time. Middle Level Site “I” is in Gym A. Teams will enter in the double doors closest to the back parking lot. Spectators will enter in the opposite pair of doors. Teams will unload in the back parking lot keeping their props outside if weather permits or moving to the designated hallway if not. Secondary Level Teams are presenting in Gym AML sites “D” and “I” and EL Site “D” ALL share the same hallway for access to staging. There is no room for any team’s props other than teams going to prep area or the teams leaving the site. Check with site officials and the site map for alternate staging locations. Weather permitting, team should assemble props outside on the sidewalks. Otherwise they need to unload their props in the large long hallway off the back parking lot. IMPROVing Along Teams need to check in at StuDIo Check In at least 15 minutes before their scheduled StuDIo time. Check in is in the hallway near room F101. The performance site is the “Black Box Theater”. Teams and Spectators will all use the same entrance. DIsigning Bridges Team Members doing weight placement must wear safety goggles. Teams must supply these. As long as the goggles are not decorated or otherwise modified they are exempt from cost. Our intent is to have separate structure check-in locations for each presentation site. IF we run short of appraisers we will combine this to one structure check in site. You will be notified of any change at registration. Structure check in time is one hour before the teams Team Challenge time. Teams may check in their structures earlier but must give precedence to teams with earlier Team Challenge times. Teams will return to structure check in to retrieve their structure as they enter the prep area and meet the prep area appraiser. Elementary DIsigning Bridges teams will be performing in the band hall. The floor in this room is carpeted. Structure check in for Elementary DIsigning Bridges is in Room F152. Teams will check in with the Prep area appraiser at the door way to the practice rooms across from room F154, The teams will travel down the practice room hallway and enter the band hall from the back entrance. The spectator entrance is the main entrance to the Band Hall. ML and SL DIsigning Bridges teams will be performing in Gym 1. This floor will be covered with a protective Vinyl that will make it difficult if not impossible to slide props from the launch area to the presentation area. Structure check in for ML and SL teams is room H115. This is very near the entrance where teams will pre-stage to go into Gym 1 from the back entrance. OTHER NOTES Regional Board members will be wearing Baby Blue T-shirts similar to the Teams T-shirts. Look for these shirts if you have a question. SCHEDULE: Double check your team’s Team Challenge and Instant Challenge times when you arrive. Teams should check with the Prep Area appraiser about 30 minutes before their teams scheduled Team Challenge. Check in for Instant Challenge 15 minutes before your teams scheduled time. Remember, if the team elects, one team manager may accompany the team into Instant Challenge. SCORES FOR CENTRAL CHALLENGE: Team Managers and one Team Member should check back with the Head Appraiser at their site approximately 30 minutes after your performance to pick up your teams raw scores. If your team is one of the first three teams of the day you should wait at least one hour before picking up your scores. There should be a sign indicating when your scores are available for pick up. “Mask” Activity – Check in the cafeteria area for the craft booth where team members can make their own masks to display their creativity. Cost is $3.00 per mask. CONCESSIONS: Concessions are available in the cafeteria near registration. Concessions are also available at Heritage Middle School. DIme STORE: The DIme Store is located near registration. Check out all the cool merchandise. FIRST AID: If you need first aid go to the Registration Desk or DIme store for assistance. We have minor first aid available. LOST AND FOUND: Lost and Found is at the Registration area. When registration closes, Lost and Found will be taken to the DIme Store and then to the Award Ceremony. PHOTOGRAPHS: The photographer is set up near registration. Please stop by and have your team’s picture taken. You can buy a CD of all of the photographs taken today directly from the photographer for $15.00. An order form is included in your registration packet. You do not have to buy a CD to have your teams picture taken. You can use the picture files on the CD at your local photo shop or at an online service to print as many photos as you would like. The pictures taken will also become part of the pre-award ceremony slide show. AWARDS CEREMONY: The Awards Ceremony will be held in the main gym at Colleyville Heritage High School. The doors will open at 5:00. There will be assigned seating on the floor by school district for the Teams and Team Managers. Look for the signs to see where your team should sit. Team guests and spectators should sit in the stands. A slide show of teams and today’s events will start by 5:45. The Award Ceremony is scheduled to start at 6:00 pm. Scores will not be posted after the award ceremony. They will be up on the website by Sunday night. TEAMS ADVANCING TO STATE: The first place team from each level/challenge will advance to the State Tournament. Because of the number of teams competing in Elementary and Middle Level RaDIo DI we will be advancing 2 teams from each ELEMENTARY LEVEL RaDIo DI SITE and one (1) team from each MIDDLE LEVEL RaDIo DI Site. We will also be advancing two teams from the ELementary Level of DIzzy Derby. When first place teams are called to receive their award, the Team Manager will receive a packet of State Tournament Information. Depending on selections made, certain forms must be turned in TONIGHT. You must meet with your school district coordinator and the Regional Director for about 30 minutes after the Awards Ceremony. SCORE PACKETS: Score Packets will be available one week after the tournament from your district coordinator. Problems? Remember, everyone working this tournament is a volunteer. We have done our best to try and make things run smoothly but problems may occur. Team Managers should review the Rules of the Road for the procedures they should follow should they have questions about any aspect of the tournament. Only Team Managers can discuss problems with tournament officials. Parents must not approach tournament officials about problems. Also, only objective score elements can be “challenged”. Subjective scores may be discussed with the head appraiser or challenge master but will not be changed.
